Laptop Rental Program

Investing in one or several laptops to use for limited projects, remote presentations, or while on vacation can be expensive.  In an effort to provide an alternative to the Maxwell community, ICT provides a Laptop Rental Program.  This program is designed to be an inexpensive and convenient way to use a laptop for special occasions without the cost of ownership. 

Laptops can be rented daily, weekly, monthly or by the semester.   View installed software on rental Equipment.  

Important Note:  Laptops are only available to Maxwell users who can pay with a Department ID!  

Laptop Rental Policies  

• Requests must be made at least 48 hours in advance. Once a request is submitted, you will be contacted by a member of the ICT staff within 4 business hours to confirm availability.  Submitting a request form does not guarantee availability.
   
• When availability is confirmed, a staff member will assist you with all the necessary arrangements including the drop off and pickup locations and equipment orientation. 
   
• Rentals and are handled on a first-come, first-served basis (availability is limited). Requests with less than 48-hours’ notice may not be accommodated. 
   
• Equipment must be picked up and returned, Monday through Friday, between the hours of 9:00am and 3pm. If you are unable to return the equipment by Friday, the equipment can be returned Monday, but charges will apply for the weekend. 
   
• All data on the laptop rental will be erased upon return. NO DATA IS BACKED UP. IF YOU DO NOT RETRIEVE YOUR DATA BEFORE RETURNING THE LAPTOP, YOU WILL LOSE THE DATA! 
   
• Equipment is rented through Maxwell departments only. The renting department is responsible for all fees, ISP charges, damage and missing equipment (see below).
   
• Laptops and projectors are free of charge if requested for less than a week. Request greater than a week are charged in full from the first day.

Repair or Replacement Fees:

If items are broken or missing, the renting department will be charged for the repair / replacement. If the entire laptop or projector is lost or stolen, your department could be charged for the full value.

The renting department is responsible for all fees, ISP charges, damage and missing equipment. Here are the current Replacement Costs:

• Laptop - $2000.00 each 
• Projector - $1500.00 each
